Refunds

We try to be as fair as possible when it comes to refund/cancellation/withdrawal terms. We understand that unexpected life events occur and we will do what we can to work through any issues that might impact on you. That being said, we also need you to understand that tour organisers need to make certain payments in good faith on your behalf, upon receiving a booking, some of which are not recoverable. Please see below the refund conditions:

  • The initial deposit is non-refundable – this eliminates ‘just holding a place’ and ensures equity for everyone wanting to join the tour. It will also go towards covering cancellation and administration costs. You may, however, negotiate the transfer of your deposit and subsequent full cost to someone else that is willing and eligible to take your place on the tour;

  • Up to 28 days after registering payment with Postie Bike Adventures Australia, you can get a full refund minus the $200 deposit (note that we will be charged by our payment provider for both accepting and refunding your money);

  • After 28 days and up to 90 days before the launch date of the trip, you will be eligible for a 50% refund;

  • Less than 90 days before the adventure launch day you will not be entitled to a refund.

If you wish to cancel your tour you must immediately inform Postie Bike Adventures Australia, in writing. Cancellation takes effect on receipt of your notice to Postie Bike Adventures Australia and the monies paid will be subject to the refund conditions above.

Once the event has commenced, there will be no refunds in any circumstances. If you leave a tour for any reason after it has commenced, we are not obliged to make any refunds for unused services or resources.

Cancellations by the event organisers

Postie Bike Adventures Australia has the authority to cancel the tour. In the event that your tour is cancelled for any reason, for example, a serious weather event, participants will receive a full refund of all monies paid. No further liability by Postie Bike Adventures Australia, its organisers or companies, to participants with regard to cancellation, will be accepted.

If for any reason during the tour, trip leaders consider or deem a participant to be unsuited to continue the tour for such examples as (but not limited to):

  • Engaging in any illegal activities such as drink driving or driving under the influence of drugs;

  • Causing disruption, inconvenience or harassment to other participants;

  • Behaving in a dangerous manner to themselves or others.

  • Sickness;

  • Bringing ill repute to Postie Bike Adventures Australia in any way;

  • Illegally damaging property;

  • Demonstrating inadequate skills that could lead to injury of self/other participants.

Then the trip leaders can disqualify the participant/s with no recourse. In such circumstances, the participant will be transported to the nearest town and will need to find their own means of returning home.

Government Requirements

Although we respect everyone's right for  choice, as a business we are required by the government to comply with their requirements regardless of what our opinions may be. Therefore we have had to add this clause into our terms and conditions.

The customer shall comply with all Government (Federal and State) requirements for entry into Western Australia and to access any of the venues which we visit on our trips.

Where a Government: (a) requires that a person must be vaccinated against Covid-19 (or any other disease or virus); or (b) imposes a restriction or requirement of any nature on venues we visit  the customer must comply with such requirements.

Where the customer: (a) is unable to meet any requirement (including where a Government requirement is introduced subsequent to the booking); (b) cancels the booking; or (c) is unable to access any of the venues on our trips as a result of a requirement referred to in  the clause above, the customer shall forfeit any and all monies paid.

Where the customer does not comply with any requirement referred to in clause above, the  owners reserves the right to decline the booking, cancel the booking or refuse entry onto our rides.

Changes

Things can change at any time – it’s expected, it’s inevitable and we understand. We will do what we can to help in extenuating circumstances but please be aware that the organisers don’t accept liability resulting from unavoidable changes to itineraries, or any other matters relating to a program, due to factors beyond its control. These factors include weather, road conditions, delayed flights etc. Expenses incurred by participants resulting from changes are at their own expense. Information involving the trip route is to be considered only as a guide and may be subject to change without prior notice.

In the event that the organisers need to cancel a trip due to unforeseen circumstances, participants will be given a full refund or where available, a comparable alternative.

Postie Bike Adventures Australia is not responsible for the costs of any other travel arrangements that might be affected by the cancellation or rescheduling of tour departure.

Routes are offered on optimum dates to minimize any inadvertent impact of poor weather. However, natural events can be unpredictable so your trip leader will be on hand to adjust the route accordingly. Every effort is made to follow the predesigned route, but minor adjustment may be required to ensure participant safety and keep to the itinerary schedule.

Postie Bike Adventures Australia constantly strives to improve tour itineraries and features. If such improvements can be made, or unforeseen circumstances beyond our control can be changed where deemed necessary, we reserve the right to vary itineraries and to substitute tour experiences. (This can be due to but not limited to things such as road and weather conditions/roadworks, or 3rd party suppliers no longer operating).

Weather Conditions

Under no circumstances can we be held responsible for weather conditions, nor can any tour be cancelled or amended by you at any time on the basis of weather conditions.

Medical Information

You must provide any medical information reasonably requested by the tour operator and may be required to complete the tour operator’s medical information form.

Furthermore, 3rd party operators with whom we deal with may also require medical information as requested prior to activities.

You agree to complete the Medical Form honestly and to disclose all relevant medical information accurately and fully.

The tour operator reserves the right to deny you permission to travel or participate in any aspect of a tour at any time and at your own risk and expense where the tour operator determines that your physical or mental condition renders you unfit for travel or you represent a danger to yourself or others

Bike Damage

Postie Bike Adventures Australia recognises the nature of the tours will come with some wear and tear on the bikes and expectations of some cosmetic damage. In the event that major damage is done to the bike (for instance it cannot be used any more, or the cost of the repairs will outweigh the cost of the bike), participants are liable to be invoiced for $2000 to cover the cost of the bike. Furthermore, in the event that minor damage is sustained, participants will be invoiced for such monies to cover the cost of parts and labour to fix the bike. This is to ensure that participants enjoy the use of the bikes and treat them as their own and with respect.

Charity Fundraising

Each person must use their best endeavor to raise a minimum of $500 AUD for either the suggested charities, or their own individually chosen charity. Any other donations must be made to legitimate, registered charitable organisations approved by consultation with the event organisers. All donations must be paid to the charities no later than 2 weeks after the event period.
